Who is responsible?

Effective Webs operates under Alatapps. Alatapps is responsible for the use of personal data on this website and for handling enquiries. Our business details are listed below.

What information does the form ask for?

Your name and email address are required so that we know who we’re in contact with. A quote request also requires a short message; for a general enquiry, this is optional. Your company, website, preferred service and timeframe for a quote are optional. The form cannot process your request without the required information.

The server validates your entries and processes them temporarily in memory. The form handler does not store or log readable contact details or message content. If an error occurs, your entries remain in the form. The website does not save them in cookies or browser storage. Please don’t share passwords, identity documents or medical information.

Security and temporary storage

To prevent abuse and duplicate requests, the handler stores protected identifiers derived from the network address, email address and request using a secret key, together with counters, timestamps and processing status. These identifiers are not anonymous data. Counters expire within an hour; request status expires 24 hours after the last permitted delivery attempt.

An automated hourly task removes expired security data. This limits its retention in active form storage to approximately 25 hours. We check that the task continues to run. This period does not apply to received emails or any recovery copies.

What does this website load?

Fonts, illustrations and animations load from the website itself. The website code does not set cookies or include visitor analytics, advertising trackers or an embedded external calendar. You do not need an account to view the website. We do not create visitor profiles or make automated decisions about projects.

Hostinger also processes technical visit data, such as the network address, time, requested page, browser characteristics and error messages. This data supports the operation and security of the hosting and is separate from our temporary form storage. Under its data processing terms, Hostinger may retain data only as needed to provide its services or meet a legal obligation. The approximately 25-hour limit for our form storage does not apply here.

How do we handle your enquiry?

We use Hostinger for the website and form, and Google Workspace to receive and answer enquiries. Your completed request is sent to Effective Webs by email. An automatic acknowledgement is sent to the email address you provide, followed by a personal response. We respond to contact enquiries by email.

We use the data to answer your enquiry and prepare for a possible project. If you are the prospective client yourself, the legal basis is taking steps at your request before entering into a contract, to the extent necessary. For contact on behalf of a company or a general enquiry, the basis is our legitimate interest in handling that correspondence. For the limited measures against abuse, it is our legitimate interest in protecting the website and enquiries. Your request is not used for newsletters or advertising profiles.

Service providers and retention

Hostinger International Ltd. provides hosting. Google Cloud EMEA Limited provides business email and restricted-access file storage in Google Workspace. Data processing agreements apply to these providers. Processing may also take place outside the European Economic Area. Where necessary, the agreements provide for an applicable transfer mechanism or European Standard Contractual Clauses. If no project follows, we delete the enquiry and related correspondence no later than six months after the last substantive contact, or sooner if they are no longer needed. Our monthly review also covers enquiries whose retention period will end before the next review. This includes received and sent messages, deleted-items folders and any copies we hold. If a project follows, or specific information remains necessary for a dispute or legal obligation, we assess that information separately and record its purpose and retention period.

For client files, privacy requests and any incidents, we retain only what is needed to handle the matter, provide agreed follow-up support, meet legal obligations or maintain necessary accountability. We record a retention end date for each file and review it monthly. When a matter closes, we delete unnecessary data. Any necessary exception is documented separately with a reason and an end date. Tax records are assessed separately.

The owner of Effective Webs manages these records and handles privacy enquiries. Deleting a message from a mailbox does not immediately remove every recovery copy held by a provider. Hostinger states retention periods of seven days for daily hosting backups and six weeks for weekly backups. Google describes a deletion period of up to 180 days after an instruction for irrecoverable deletion, subject to legal retention obligations. These are provider recovery and deletion procedures; they do not extend our use of your enquiry. If data is restored, we reapply previous deletion decisions.

Questions and your privacy rights

You can request access to, correction of or deletion of your data. Where the relevant right applies, you can also request restriction or portability, and object to processing based on a legitimate interest. We assess your request and normally respond within one month. If a legally permitted extension is needed, we will tell you within that month and explain why.
